How to export Payroll transactions to accounting applications

Set up Payroll accounting Integration to export payroll data to Sage Accounting or another supported accounting product.

You can post entries directly to Sage Accounting or export a file for another accounting product, including:

  • Sage 50 Accounting - Canadian Edition

  • QuickBooks Desktop

  • QuickBooks Online

  • Xero

  • Zoho Books

Set up integration with Sage Accounting

  1. See the article Integrate with Accounting.

  2. After setup completes, in the pay run, select Post summary to push accounting entries to Sage Accounting. There’s no need to import a file.

  3. Optionally, select Export during a pay run to download a CSV file for your records.

Set up integration with another accounting product

  1. From the Payroll Dashboard, select Accounting.

  2. Select Set up other accounting integration.

  3. Select your accounting product.

  4. IMPORTANT: To ensure an error-free import/export process, review the article What to do before generating the Payroll transactions export file. Resume these steps afterwards.

  5. Map the required payment method accounts.

  6. Map the required payroll component accounts by selecting the tabs.

    Earnings

    Deductions

    Other Amounts

    Tax

  7. Review the mappings and select Finish.

File generation

After setup completes, you’re ready to export accounting entries to a file.

  1. When doing a pay run, click the Export journal button to generate the file in your Downloads folder.

  2. Upload this file to your accounting software by following your product documentation.

Exporting and importing into Sage 50 Accounting

  1. In Sage Payroll, select the pay run with a Ready for export status.

  2. Select Export journal.

  3. The file downloads into your system Downloads folder.

  4. Open your accounting file with the latest version of Sage 50 Accounting.

  5. Go to File, Import/Export, Import Transactions.

  6. Select Import general journal entries into Sage 50, then click Next.

  7. Create a backup by clicking Back Up.

  8. Click Next when your backup is complete.

  9. Select the Browse button to locate your import file, then click Next.

  10. You'll receive an Import Record Summary with the results of your import.

  11. Click OK, then Finish.

Switch to a different accounting integration

There are two integration options:

  • Sage Accounting

  • Other accounting software

Payroll supports one accounting software export option at a time.
